How to Claim
If you have been successful in being awarded a Grant for Research and Development a start date will be agreed with you. You are then required to claim the grant on a quarterly basis after this date.
You will need to provide a completed signed claim form (available below) along with a project progress report. Your progress report should consist of the following:
- Overview - highlighting an overview of the progress to date, changes to timetables/costs, whether an extension may be required (please note that extensions granted to project timeframes are not guaranteed), etc.
- Gantt Chart - updated copy of your Gantt chart to reflect the level of progress relating to project tasks
- Technical progress - supporting your Gantt chart, this relates to tasks started, progressing or completed. This does not need to be detailed but should establish how the work is progressing against the original plan
- Project cost forecast - updated forecast of your project costs, along with expected grant to be claimed. This also helps us with our budget. The Grant Payments Profile Calculator below can assist you with this.

As well as the Claim form and Progress Report, additional information is required depending on the type of project you are carrying out:
Micro Projects
- Lists which illustrate a breakdown of costs
- Original invoices and timesheets
- Recent audited accounts or up-to-date management accounts
Each claim for grant will be made at 45% of eligible project costs for that period. 15% of the grant will be held back until the project is completed and after the Monitoring Officer is satisfied with progress made after an end-of-project monitoring visit.
Research Projects
- Lists which illustrate a breakdown of costs
- Recent audited accounts or up-to-date management accounts
- Independent Accountant’s Report (final claim only)
Once you have accepted the offer of grant, an advanced payment of 20% of the grant offer, up to a maximum of £20,000, will be made (subject to any preconditions). Your quarterly claims will then be made at 48% of project costs for each claim period in order to recover the up-front payment.
15% of the grant will be held back until the project is completed and after the Monitoring Officer is satisfied with progress made after an end-of-project monitoring visit.
Development and Exceptional Projects
- Lists which illustrate a breakdown of costs
- Recent audited accounts or up-to-date management accounts
- Independent Accountant’s Report (first and final claim only)
Each claim for grant will be made at 35% of eligible project costs for that period. 15% of the grant will be held back until the project is completed and after the Monitoring Officer is satisfied with progress made after an end-of-project monitoring visit.
Once your project is complete and you have received your final payment, you will enter a conditions period which lasts 3-5 years after the date of final payment (as per your offer letter). Within that period we will contact you regarding the business and commercial progress of your project and ask you to complete a Post Completion Monitoring form (available below).
